Zoom Security Options

Zoom requires all meetings to be secured with one of the following security options:

  • Passcode
  • Waiting Room
  • Only Authenticated Users

These options provide additional protection and privacy for your meetings and help prevent uninvited guests from joining.

If no security option is enabled, Zoom will automatically secure all meetings with a Waiting Room.

Begin with Account Settings, then set up the chosen security option for your meeting.

Account Level Meeting Settings

We recommend that you set up the security option at the meeting level and not the account setting level. This is because the security option you wish to use may change depending on the type of meeting you are hosting, and if you set these changes at the account level, it will conflict with your meeting options.

However, we do recommend two Settings at the Account Level.

Log in to Zoom at clackamas.zoom.us.

Select Settings from the Navigation Panel on the left.

Select Meetings from the Menu at the top.

Make the following changes under Security: 

  • Enable Embed passcode in invite link for one-click join.
  • Disable all other settings under the Security area.

Make the following change under Schedule Meeting:

  • Enable Allow participants to join before host.

Passcode Security Option

Passcode allows users to log in to the Zoom Meeting (without logging into Zoom) and join before the host. You can embed the passcode in a Zoom Link that you provide to others for one-click access. Users joining by typing in the Meeting ID will also need to type in the Passcode.

WARNING: If you change the passcode for your Personal Meeting ID or for a meeting that already exists, any embedded links that were created previously for that meeting ID will no longer be valid.

There are multiple ways to schedule a Zoom Meeting (Zoom App, Moodle, Outlook, etc…), but this article will demonstrate how to use the Zoom web portal at clackamas.zoom.us.

Be sure to set up the Account Settings FIRST to use this security option.

Log in to Zoom by going to clackamas.zoom.us

Select Meetings from the Navigation Menu on the left.

Click on Upcoming, Personal Room, or Schedule a Meeting. 

If you are updating an Upcoming or Personal Room meeting, you will need to also click on the Edit button.

WARNING: If you schedule or update a meeting using your Personal Meeting ID, the change will affect ALL meetings that use your Personal Meeting ID.

Scroll down to the Security section.

Check the Passcode box and type in your passcode.

Scroll down to Options and select Show. 

Select other pertinent settings, such as Allow participants to join anytime.

Click the Save button at the bottom.

The Invite Link will contain both the meeting ID and the passcode which will allow students to click on the link to join the meeting.

To copy the link, click on the button to the right.

Waiting Room Security Option

Waiting Room prevents users from joining your meeting before you do and allows you full control over who joins the meeting and when.

This option is great for small meetings or when you don’t want others to enter the meeting unexpectedly, like with Office Hours. It also may be a convenient way to take roll at the beginning of a Zoom session.

Login to Zoom by going to clackamas.zoom.us

Select Meetings from the Navigation Menu on the left.

Click on Upcoming, Personal Room, or Schedule a Meeting. 

If you are updating an Upcoming or Personal Room meeting you will need to also click on the Edit button.

WARNING: If you schedule or update a meeting using your Personal Meeting ID the change will affect ALL meetings that use your Personal Meeting ID.

Scroll down to the Security section.

Check the Waiting Room checkbox.

Click the Save button at the bottom.

You can let users into the meeting one by one (such as when taking roll), or you can click Admit All to allow everyone currently in the waiting room to join.

Only Authenticated Users Can Join Security Option

This security option is ideal when you want to allow users to join before the host without the use of a passcode, and you know all users have a valid Zoom Account.

All Students and Staff can login to a valid Zoom Account using their college account by going to clackamas.zoom.us and selecting Sign In. They will then use their Clackamas Account to login. If they have never logged into Zoom before using their Clackamas account they will need to confirm their email before logging in fully.

Make sure you set up the Account Settings to allow users to join before the host first if you wish to use this security option.

Login to Zoom by going to clackamas.zoom.us

Select Meetings from the navigation menu on the left.

Click on Upcoming, Personal Room, or Schedule a Meeting. 

If you are updating an Upcoming or Personal Room meeting you will need to also click on the Edit button.

Scroll down to the Security section.

Check the Require authentication to join check box.

Scroll down to Options and select Show. 

Here you can add additional settings such as Allow participants to join anytime. 

Click the Save button at the bottom.
